Essential Duties and Responsibilities:

1. Supervision:

  • Ensure a trauma-informed workplace is achieved and maintained by demonstrating a balance of kindness, competence, and care towards self, others with whom we work, and those for whom we provide care.
  • Plan and provide training and supervision to the Coordinators and cross-training of Behavioral Health Coordinator and Service Coordinator Staff.
  • Review staff log narratives for appropriateness and completion; follow up with Operation’s Staff and Program Managers.
  • Complete all written violations, incident reports, disciplinary action, and other documents within a timely manner (72 hours).
  • Educate and provide feedback to staff on process compliance requirements.
  • Verify compliance and agency training are completed and up-to-date for Coordinators.

2. Data Management and Compliance

  • Monitor and ensure compliance with organizational standards and processes; recommend best practices to Coordinator Staff.
  • Ensure documentation and recordkeeping is complete and maintained for Coordinator Staff within a timely manner (72 hours).
  • Ensure confidentiality and data privacy standards are met.
  • Oversee the timely collection and entry of data in the Homelessness Management Information System (HMIS).
  • Conduct process audits to ensure compliance and address potential issues.
  • Serve as a point of contact for data system entries.

3. Duties and Responsibilities

  • Manage the staffing requirements for 24-hour coverage throughout Shelter House’s facilities.
  • Through effective supervision, ensure processes and activities comply with Shelter House policies, mission, purpose, and values.
  • Onboard, train, and develop Coordinator Staff on 2nd, 3rd, and weekend shifts to provide feedback on evaluation, promotion, and termination.
  • Coordinate with Program Managers on outcomes and trespass standards.
  • Provide emergency assistance to clients and co-workers as necessary.
  • Document and notify the appropriate level supervisor of high-level guest concerns, potential workflow problems, and/or any exceptions to policy that could impact organizational processes and security as appropriate.
  • Maintain knowledge of safety, health, and work standards to ensure a safe and positive environment for all.
  • Model positive, professional behavior including through appearance and communication with others
  • Coordinate with Program Managers on outcome management to improve processes and procedures with Coordinator Staff.
  • Maintain grounds security at all times.
  • Review client outcome decisions with Coordinator Staff and deliver the appropriate level outcome in a timely manner (72 hours).
  • Check email and respond promptly (48 hours).
  • Monitor and update the agency schedule in Paylocity and Excel for any updates (e.g., open shifts, shift changes, etc.) for the shifts that you work/supervise.
  • Monitor Paylocity for timecard corrections, missing punches, time off requests, etc.
  • Approve/deny sick/PTO requests.
  • Attend and participate in weekly one-on-one meetings with the Operations Manager, management meetings, all-staff meetings, team-building functions, and all necessary ongoing trainings as determined by the Operations Manager.
  • Build relationships and coordinate with external partners while on-site at Shelter House (e.g., ICPD, EMS, EMTs, Johnson County Ambulance, etc.).
  • Conduct shift changeover briefs.
  • Monitor Paylocity attendance points and complete documentation for violations.
  • Conduct bi-weekly one-on-ones with Coordinator Staff.
  • Participate in an on-call rotation with other Shift Supervisor staff. On-call staff may be required to work irregular or additional hours.
  • Build relationships and cross-train with Program Managers to learn building-specific policies and procedures.
  • Spend a minimum of 2 hours at each facility to ensure equitable support of staff and clients.

Requirements:

Required Skills:

  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficiency in Microsoft Office Suite or related software.
  • Proficiency or the ability to quickly learn the organizations HMIS and Human Resource Information System (HRIS) and obtain required licensing within 90 days from the start of employment.
  • Ability to train and develop teams in organizational processes and standards.

Education and Experience:

High School Diploma or GED; six (6) months or more of previous management experience or ability to demonstrate increased responsibility in previous work. Human Services experience dealing with issues unique to homelessness, substance abuse, mental health, and physical disabilities preferred.

Certifications, Licenses, and Registrations:

  • Current vehicle insurance
  • A valid driver’s license and the ability to be insured on the agency’s commercial auto insurance policy.

Working Conditions and Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 30 pounds at times.
  • Ability to respond and react quickly in an emergency situation.
  • Prolonged periods of standing.
  • The ability to travel between multiple work sites.

Hours and Schedule:

  • This is a full-time, benefit-eligible role.
  • 40+ hours per week.
  • Monday - Wednesday, 2nd Shift (2:00 PM - 10:00 PM) + Saturday - Sunday, 1st Shift (6:00 AM - 2:00 PM)
